Core rule

A real discount is a manager-approved price reduction entered in the Discount field. The 5% VAT is not a discount. Always collect the final amount shown in To pay.

1. Before starting the sale

Gift certificates and packages are sold in Altegio as product sales. In the Digital Journal, open the product sale using SellProduct or the + button → Product sale. You can also create a sale from Administration → Products → Inventory Management → Product operations → Product sale.

Certificate type

Confirm that the required item is available in HAIRLAB CERTIFICATES.

Package type

Confirm that the required item is available in HAIRLAB PACKAGES.

Price and VAT

Check the product name, base value, 5% VAT treatment, and final amount before taking payment.

Unique code rule

Most certificate and package types need a unique code. Enter the code manually or use the circular-arrow button to generate it. For coded items, do not increase qty: every additional certificate or package must be added as a separate item with its own code.

2. Selling a gift certificate

Follow the sequence below for a gift certificate sale. For a gift, follow your salon rule on whether the certificate should be linked to the purchaser; a unique code can allow the recipient to redeem it later.

  1. Open the sale. Click SellProduct, or click the + button and choose Product sale.
  2. Select the employee. Choose the employee responsible for the sale in Employee.
  3. Select the client if required. Search by name or phone in Client and confirm the correct profile.
  4. Choose the certificate. In Category, choose HAIRLAB CERTIFICATES, then select the exact certificate. Example: Gift Certificate 1000 +5% VAT.
  5. Enter or generate a unique code. If the code field appears, type a unique code or click the circular-arrow button. Never reuse a code.
  6. Check the amount. Verify the certificate value, VAT treatment, and the final To pay amount. Do not enter VAT in the discount field.
  7. Take payment. Click Save and pay / Save, choose the actual payment method, and complete the transaction.
  8. Finish the sale. Confirm the payment status, print or save the receipt if required, then click Done.

3. Why does the certificate show a negative “Discount”?

This is the most important point for the certificate Gift Certificate 1000 +5% VAT.

VAT 5% is not a client discount

The negative line is a technical VAT display

The certificate has a base value of AED 1,000. The system applies 5% VAT, which is AED 50. In this transaction, the VAT may appear as a negative value in the Discount line. It does not mean that the client receives AED 50 off.

Do

Charge the final amount shown in To pay: AED 1,050.

Do not

Change AED 1,050 to AED 1,000 or enter a negative discount to remove the VAT line.

A real promotional discount is entered only with manager approval in the percentage Discount field. If the final amount does not match the expected total, stop before payment and ask the person responsible for product and tax settings to review the item configuration.

4. Selling a service package

A service package is called a membership/subscription in the official Altegio documentation. The package is tracked through the client profile or its unique code for future session redemption.

  1. Open Product sale. In the Digital Journal, click SellProduct.
  2. Select the correct client. Use the Client field and check the name before continuing.
  3. Choose the package category. Select HAIRLAB PACKAGES.
  4. Select the package. Choose the exact package the client is buying. Example: SCALP MEDICAL INTENSIVE PEELING 5 SESSION.
  5. Enter a unique code if requested. Type a new code or generate it with the circular-arrow button.
  6. Verify sessions and quantity. Five sessions means one package contains five sessions. It is not the same as selling five packages. Add each additional code-based package separately.
  7. Apply only an approved discount. Never use the discount field to enter 5% VAT.
  8. Check out and pay. Review the client, package, code, total, tax, and To pay, then select the payment method and complete the sale.

5. Payment and final check

Use Save without payment only when this is allowed by your internal process. For an immediate sale, choose Save and pay, then use cash, bank card, loyalty payment, or detailed/split payment where appropriate.
